Checks are accepted for business charge accounts only.
There is a $30 fee for any check returned for insufficient funds.

The non-refundable 25% down payment made to reserve your items counts toward your final balance. The final balance is due two weeks prior to your event.

POLICIES, TERMS & CONDITIONS

  • A minimum 25% NON-REFUNDABLE down payment is required to secure your reservation of rental items.

By paying the 25% non-refundable down payment you are agreeing to our rental contract.

  • You must be at least 18 years old with a valid photo ID to sign the rental contract.
  • Prices listed are for a 5-day rental period. We understand how busy you are on the days surrounding your event, which is why we do not charge per day. We are extremely flexible and allow you to have our rentals for up to five days. Extended time may be arranged with prior approval based on availability.
  • Customer is responsible to verify receipt of all items. If client is unavailable or chooses not to count, Making Memories Event Rentals LLC’s count is considered as final.
  • Customer is to comply with all municipal, county, state, local and federal ordinances related to event such as, but not limited to use, safety and required permits unless otherwise stated on contract.
  • A valid credit card may need to be kept on file.
  • All prices are subject to change without notice.
  • We highly recommend that you reserve your rental order as early as possible. Some of our specialty items are limited in quantity and are truly one of a kind. Dates fill up fast, so be sure to get your signed contract and 25% deposit in asap!

REFUNDS:

In reserving the items for your date, we are promising these items to you and have lost the opportunity to rent them to other customers on that date.

  • If your event is postponed or changed, we will honor your 25% down payment for the new date. Please be aware that your previously selected items may not be available on your new date, and you may need to select alternate options based on availability.
  • If your event is cancelled for any reason, the 25% reservation down payment is not refundable under any circumstance, but dates can be rescheduled subject to the new date being available.
  • If you cancel within 14 days of the event, 50% of all items will be charged. Your order will be updated to .5 billable days and you will be responsible for this reduced amount.
  • If you cancel within 7 days of the event, 75% of all items will be charged. Orders will be updated to .75 billable days and you will be responsible for this amount.
  • If the truck is already loaded (trucks are loaded 1-3 nights prior to your event) and any item, or an entire order is cancelled, you are still responsible for the entire balance in full and no refund will be given.
  • Heaters are the only items that there is no refund or partial refund given regardless of the day cancelled.

DAMAGE FEES:

We expect that you will take excellent care of our rental items and that you will return them in the same condition and in the same containers that you received them in.

  • Any damaged or stained item(s) will be repaired at your expense. If the item(s) are beyond repair and must be removed from our inventory, you will be charged a replacement fee of three times the rental rate or the cost to replace.
  • Permanent stains, wax, burns, mildew, rips or negligently damaged items will result in a replacement fee being billed to the customer.
  • Rental items with food or debris on it upon return will be charged a cleaning fee.
  • Rental items may not be left outdoors overnight. Items must be secure and protected from theft, weather, sprinklers and any loss of usage. Customer is 100% responsible for missing/negligent damage to items.
  • Any broken or damaged items must be returned to us. We understand that accidents happen, but we need to be made aware of it. We will attempt to fix the item(s). If the item(s) is/are beyond repair and must be removed from our inventory, the customer will be charged three times the rental rate or the actual replacement cost. Items that are not returned are charged a replacement fee of three times the rental rate or the actual cost. Customers are responsible for the repair/replacement costs of any and all items that are damaged, lost or stolen.
  • After we have inspected your returned items, you will be notified if you have incurred any fees and your card on file will be charged accordingly.

TO AVOID ADDITIONAL FEES:

Linens (this applies and is not limited to tablecloths, table runners, overlays and chair covers) must be returned dry, free of food and debris and placed in the mesh laundry bags provided.

All inventory must be returned free of burns and wax residue and placed in the original containers or bins that they were received in. This applies and is not limited to lanterns, candlestick holders, votive holders, glass vases, tables, chairs and other furniture.

Chairs must be stacked neatly back on dollies at the end of the event.

All china, glassware, flatware, and food serviced items must be returned rinsed free of food and debris and placed in the original containers, bins or racks that they were received by the customer in.

The only permittable writing tool to be used on our chalkboards is chalk. You may also use REMOVABLE vinyl lettering. Chalkboards that are returned with permanent markings or residue will be charged a re-painting fee of $10.00.

MALFUNCTION:

If a malfunction occurs, contact us immediately at (717)419-6822. DO NOT attempt to fix the item. If immediate notification is not made, a refund will not be considered.

AVAILABILITY/SUBSTITUTION OF ITEMS:

If an item you have reserved were to get damaged, ruined or lost prior to the day of your event, Making Memories Event Rentals LLC will do our best to find a replacement. Since some of our items unique, if we cannot find an exact replacement, we will offer you a substitution of another item similar in appearance, of equal value and refund you 50% of the rental fee that you paid for that specific item.
